Janitorial pricing is not the same as one-time cleaning pricing

The word janitorial specifically means recurring, scheduled cleaning under a standing agreement. That changes the pricing model. A one-time deep clean or a move-out clean is priced per job, because the contractor is quoting a fixed amount of labour with a clear end point. A janitorial contract is priced per month, because the contractor is committing crew hours to your site every week for the foreseeable future.

That commitment is why monthly janitorial rates are lower per hour than one-off work. The contractor has predictable revenue, a fixed route, and a crew that learns your building. If you are comparing a janitorial quote against a one-time cleaning quote, you are comparing two different products.

The five things that actually move a janitorial quote

1. Frequency

This is the single biggest driver, ahead of square footage. Moving from two visits a week to five roughly doubles the monthly cost, because you are buying crew hours. It also changes what each visit involves: a nightly site needs less time per visit than a twice-weekly site of the same size, because less accumulates between cleans.

2. Washroom count and traffic

Washrooms take disproportionate time. Two washrooms in a 20-person office is a different job from eight washrooms serving a public-facing floor. Ask any contractor how many washroom fixtures they priced for, because a quote built on the wrong count will be revised upward later.

3. Floor type and mix

Carpet vacuums quickly. Hard floors need sweeping and mopping, and periodic machine work to stay presentable. A site that is mostly VCT or polished concrete carries a higher ongoing floor-care load than a fully carpeted office, and that periodic work should be priced into the monthly figure rather than billed as a surprise later.

4. Access and hours

After-hours work in a downtown tower costs more than a suburban unit with a back door. Security sign-in, booked service elevators, restricted loading dock windows, and night-only access all add time before any cleaning happens. 5. Consumables

Toilet paper, hand towel, soap, and liners either sit inside the monthly price or they do not. Both models are legitimate. What causes disputes is leaving it unstated, then discovering a separate supply invoice in month two. Get it in writing either way.

What a janitorial contract should include for the price

A monthly janitorial fee should cover a defined task list at a defined frequency. At minimum, expect:

  • Waste and recycling collection, with liners replaced
  • Vacuuming and dust mopping of all floor areas
  • Washroom cleaning, disinfection, and consumable restocking
  • Kitchen and break room surfaces, sinks, and appliance exteriors
  • Dusting of clear surfaces and shared touchpoints
  • Entrance glass and interior spot-cleaning
  • Periodic work on a stated cycle: high dusting, detail dusting, floor machine work
  • Labour, supervision, WSIB coverage, insurance, equipment, and standard cleaning products

Periodic work is the item most often left vague. Carpet extraction two to four times a year and hard floor scrubbing or refinishing on a cycle are not optional extras, they are what keeps a building from degrading. Hourly, per square foot, or flat monthly?

Per square foot ($0.15 to $0.50 monthly) is useful for comparing contractors on larger sites, but it is a poor standalone number for small spaces, where fixed costs dominate.

Flat monthly is what most recurring janitorial contracts settle into, and it is generally the best structure for a facility budget. The contractor estimates hours, adds supplies and overhead, and commits to a number. Your cost is predictable and the incentive is to work efficiently.

Why the cheapest janitorial quote usually is not

When one quote comes in well under the others, it is almost never because that contractor found efficiencies nobody else has. In practice it is one of four things: fewer hours allocated than the site needs, periodic floor and detail work excluded, consumables billed separately, or labour costs that do not support WSIB coverage and proper insurance.

The last one matters more than price. If a cleaner is injured on your property and the contractor does not carry WSIB clearance and liability insurance, that exposure can land on you. Ask for both certificates before signing, not after an incident.
